It is the first question most owners ask us, and the honest answer is: it depends on how many separate jobs you are trying to do in software today. Zoho sells its CRM on its own and as part of Zoho One, a bundle of more than 40 apps. Both can be the right choice.

Start with the jobs, not the apps

List the work your team does every week: capturing enquiries, sending quotes, invoicing, chasing payments, answering support emails, running projects, managing staff leave. Next to each, write the tool you use for it today.

If most of that list is sales activity and everything else is handled well elsewhere, Zoho CRM on its own is usually enough. If the list includes four or five jobs spread across different tools, Zoho One is usually better value, because the apps already share data and you replace several subscriptions with one.

When Zoho CRM on its own makes sense

  • Your main problem is sales: leads go missing, follow-ups slip, or you cannot see the pipeline.
  • You already have accounting, support and project tools that work and that you want to keep.
  • Only your sales team needs new software.

When Zoho One makes sense

  • You pay for several separate tools that do not talk to each other.
  • Information is re-typed between sales, finance and delivery.
  • You want one login, one place for customer data and one set of reports.

The trap to avoid

Zoho One gives you access to dozens of apps, and it is tempting to switch them all on. Teams then face screens they do not need, and adoption drops. Whatever you buy, switch on only the apps your team will use in the first three months, and add more once those are working.

Check licences before you commit

Zoho changes its plans and prices from time to time, and some features, such as Zia AI predictions, need higher editions. Check the current plans on Zoho's own pricing pages, and compare the per-user cost against the subscriptions you would cancel.

A quick rule of thumb

One department with one problem: start with the app for that problem. Three or more departments sharing customers: look seriously at Zoho One. Not sure? That is exactly what our Ops Audit answers, with a written recommendation you can use with or without us.
